Position Summary:

  • This position is open to youths aged 16 and have not yet reached the age of 29.

  • This position is a 35-hour work week, 8 weeks duration approx. 

  • Greet and engage clients and visitors in a warm and courteous manner on the phone and in person.

  • Knowledge of LEF programs and services and staff roles so as to address client and other caller’s and visitor’s inquiries.

  • Responsible for updating and maintaining phone system and directory.

 

Reports to: Manager of Events and Bookings

Hourly Rate: $17.60

 

Overall Responsibilities:

  • Operate busy phone system & communicate efficiently with all customer & internal teams

  • Greeting customers upon arrival and exit

  • Maintain and manage records of clients and visitors signing in and out of the building

  • Maintaining a professional appearance and demeanor at all times

  • Assisting with correspondence, and other documents as requested

  • Direct clients and visitors to the correct department, notify the appropriate person that a guest is waiting, and introduce the guest to relevant staff or Partner

  • Work cooperatively with the other internal teams including Partners

  • Assist in scheduling and confirming room bookings responding in timely manner

  • Ensure that the reception area is kept tidy and maintain a professional state

  • Operate front desk phone receiving and transferring telephone calls, taking brief messages and transferring these to staff through personal direct line voicemail or email

  • Update and maintain Extension List

  • Ensure all voicemail messages to main office number are taken and directed to staff

  • Collect, sort, distribute and prepare mail and courier deliveries and deliver internal and external mail daily

  • Check and sign for deliveries, before updating the relevant staff of their arrival (follow procedures to ensure security with all deliveries by post or courier)

  • Other duties as assigned

 

Qualifications and Experience:

 

  • Must be between the ages of 16 and 29 years of age

  • Must be a Permanent Resident or Canadian citizen

  • Post-secondary education is preferred

  • Good oral and written communication skills

  • Efficient in time management and punctual to work

  • Ability to work in a team in a pro-active manner

  • Multi-cultural sensitivity and able work in a multi-cultural/multi-racial environment

  • Demonstrated ability to work with diverse groups of individuals
